Terms and Conditions

Indie Choir Terms and Conditions

1. What does my ‘Membership’ fee include?
(i) All rehearsals in the term you paid for.
(ii) Lyrics for the term songs.
(iii)Access to line tapes for all songs in that term.
(iv)Access to our website login area during your choir
membership.
(v)Access to our Indie Choir WhatsApp group chat for
the term.
(vi)A performance opportunity each term (subject to our
performance participation terms and conditions, see
below).

2. What does the ‘New Member Fee’ cover?
(i)A branded black folder.
(ii)An Indie Choir landyard name tag.
(iii)Your choir section allocation.
(iv)Your pitching assessment.

3. Payment

• Payment is by the term and is due before each term
commences. Payment is made online through our
booking system. If required, alternative payment
options can be made available.

• If you are struggling to meet a payment deadline,
please email us on info@voiceworksstudio.ie and we
will do our best to work with you to find a solution.
• Missing payment deadlines without emailing us will
result in your choir place being lost as we will need
to release your spot to someone on the waitlist.
• A limited number of installment plans are available
and carry a 5% admin fee. Installment plans are paid
by online subscription payments only.
• If a choir member on an installment plan leaves
during the term and after the 14 day cooling off
period (see below), they will still be liable for the
remaining fee.

4. Cancellation

• All bookings are subject to a 14 day ‘cooling off’
period. If rehearsals have taken place during the 14
days, and members wish to cancel their place, they
will be liable for these rehearsals and receive a
partial refund.
• If members cancel within 14 days of the date the
contract was concluded and before any rehearsals
have taken place, they will receive a full refund.
• Voiceworks Studio must be informed of decisions to
cancel by an unequivocal statement made via email
before the 14 day cooling off period ends.
• If you are eligible for a refund (please see above) it
will be made via the payment method used when
booking.

• Unfortunately, cancellations after the 14 day ‘cooling
off’ period cannot be refunded and fees cannot be
transferred to the next term or any term thereafter.
• We ask choir members who wish to leave the choir
at any stage to please email
info@voiceworksstudio.ie to let us know as we have
a waiting list for the choir and we can offer your
place to someone waiting.
• If you cannot make a random rehearsal, there is no
need to contact the office, the WhatsApp group chat
or the choir leader.
• If you will be missing a large portion of rehearsals,
please email info@voiceworksstuido.ie to inform the
office who can make a plan with you on catching up
on materials if you’d like to.

5. Cancellation by Indie Choir, Voiceworks

Studio

• Under rare circumstances the choir leader may need
to cancel a session. In this scenario we will
endeavour to give a minimum of 24 hours notice and
the session will either be rescheduled or refunded.

6. Rehearsals

• Rehearsals take place in Long Yard Studio, Tower
Street, Ballyphehane, Cork. (Exact location given
upon booking).

• Rehearsals are 1 hour and 30 minutes from 7.30pm
to 9pm.
• We offer two nights of choir: Tuesday and Thursday.
You pick one night and you cannot switch nights
week to week. You must remain attending the night
your chose for the term.
• Rehearsal dates will be sent out in your payment
confirmation email.
• An extra 30 minutes may be added to rehearsals in
the lead up to performances if necessary.
• Extra rehearsals may be called for any extra or
special performance opportunities. These
performances are not mandatory and will be on an
opt in basis.
• Occasionally we organise a joint rehearsal for the
final rehearsal of the term with both Tuesday and
Thursday night choir. These usually take place in a
different location to hold more people. We will make
you aware of a joint rehearsal a minimum of 1 month
in advance and usually upon signing up for the term.

7. Performance Participation
There are two types of choir performances:
A: End of Term Performance
B: Extra Performance

​

A: End of Term Performance
An End of Term Performance happens at the end of each
term and is open to all choir members who have met the
below criteria:

(i)Have attended 70% of rehearsals this term. (Make sure
to sign in at the roll at the start of class).
(ii)Have attended the two rehearsals directly before the
performance.
(iii)Have attended any extra rehearsals called for the
performance.
(iv)Be a member of the choir for more than 10 weeks.
(v)Not be flagged with tuning issues.
Under certain exceptions the choir leader may allow you
to partake in the performance if all of the requirements
are not met. This is up to the choir leader.

B: Extra Performance
• An extra performance is any other performance
opportunity that comes to the choir outside of the end
of term performance.
• These performances may be big profile or small and
may require auditions and extra rehearsals.
• Extra rehearsals may be called as the material may be
brand new, the performance may be a professional
ticketed event etc.
• We have created extra requirements for participation
in these extra performances so as to keep the
atmosphere of Indie Choir light, fun and stress free.
We know that performances and preparation is a big
undertaking and we are a fun choir. Participation in
extra performances moving forward will be on an opt
in basis and subject to the certain requirements which
will be set on a case by case basis, but may include:
(i)Opting in

(ii)An audition
(iii)Availability for extra rehearsals
(iv)Learning material off by heart
(v)Availability on the day for soundcheck etc

​

8. Pitching Assessment

• We are a female adult fun choir and for this reason
we do not have an standard audition to join the choir, but we will need to assess your pitching abilities prior to joining. The ability to pitch is not a thing you simply are or are not born with, it's a skill the same as any and only takes practice to learn! We use this pitching assessment prior to joining choir to see if either you are ready to join right away, or if we would recommend a bit of pitching work before your join-date to ensure you get the most enjoyment out of all of our choir rehearsals. The ability to pitch will be the difference between immensely enjoying our choir, and/or finding it a bit stressful! :) 


• The minimum requirement to join any choir is to be
able to sing in tune and for this reason we have a
pitching assessment to check on your current abilities with singing in tune before accepting your application.


• You do not have to complete this assessment to
come along to the free trial rehearsal. Please come
to the free trial first and see if we are the right fit for
you! :)


• The assessment happens via email before your first
paid rehearsal. You will receive details after paying
for the term. If you do not meet the requirements
(which rarely ever happens!) we will issue you a full
refund.


• The assessment is done in two parts. The first part involves singing a short scale with piano, which takes less than 5 minutes and can be done in your own time. The second pitching assessment is your ability to sing a melody/harmony contrast. This is emailed to you in the same folder and involves learning a short song, and singing it against another version of the song where the notes differ. (I.e, holding a contrasting note against another section of the choir.) This ability to hold a harmony note can be harder, and you will find it easier with a few choir rehearsals below your belt, but we like to first assess your level in this before joining so that we can help you conquer this skill!

 

You will email us your recording 48 hours before your first paid rehearsal.

​

What happens if I can’t sing in tune?


• On rare occasions we meet singers who are
struggling to pitch accurately. On this occasion we
will flag with you that you have a pitching issue, we
will put you in category 1 or 2 (see below) and we will
formulate a plan of action with you.


• If this happens to you, please do not worry! We have
had many 1:1 students and choir members struggle
with pitching at Voiceworks Studio and through
home practice of pitching exercises and 1:1 vocal
lessons they are now successfully singing in tune.
We are here and ready to help you!


• We know what it’s like to struggle with pitching.
Struggling with pitching is normal and common. It is
simply a skill that can be learned, practiced and
improved. We have the knowledge and staff to help
you if you would like to improve your pitching.

Flagging Pitching Issues
If you have pitching issues, we will flag this with you and
put you into one of the two categories below. We will
formulate an action plan with you.

​

Level 1: Mild Pitching Issues
- Choir membership allowed.
- Pitching exercises given to practice at home.
- 4x 1:1 singing lessons minimum taken to explain
pitching exercises, practice pitching exercises,
pitching check-in. (€114).

- Check-in taken after 1:1 lessons and exercises and an
evaluation from here on if more are needed or are the
issues resolved.

Level 2: Bigger Pitching Issues
- Choir membership not allowed until pitching
improves.
- Pitching exercises given to practice at home.
- 1:1 singing lessons recommended and must be taken if
wanting to join the choir in the future.

​

9. WhatsApp Group

• Once signed up, members will be sent a link to join
the choir WhatsApp group chat.
• It is not mandatory to join the group chat as all choir
updates are also sent via email.
• The purpose of the group chat is to create a
community for singers to communicate as well as
announcements to be posted quickly.
• Please decide yourself if you would like to join the
group chat. It is worth knowing that if you join a
WhatsApp group chat, everyone in the group chat
can see your mobile phone number.
• Members are expected to adhere to the code of
conduct measures in the WhatsApp group.
• Joining the WhatsApp group chat does not give
members permission to contact other members
directly through WhatsApp, by text or phone without
their consent.

• Any breach of these code of conduct and WhatsApp
rules will result in removal from the WhatsApp group
and depending on the severity of the situation, may
also result in removal from the choir.
• If removed from the choir, offending members will
not be refunded.

10. Line Tapes
• Line tapes are tracks for home practice and are
permitted only for use at home by each member to
practice.
• Line tapes can not be duplicated by choir members,
shared with anyone outside of the choir or used for
any other purpose except for home practice. This
includes sharing publicly, on social media or for use
at your place or work.
• From time to time, recordings may be taken by the
choir leader in rehearsal for the purposes of tracking
progress and aiding learning.
• Recordings of rehearsals can only be taken by choir
members with express permission from the choir
leader.

11. Practice

• Weekly individual practice at home is essential. We
recommend 30 minutes individual practice each
week.

• Don’t stress if your practice slips! Do your best to get
back on track.
• Note that it is your own responsibility to catch up on
anything that you have missed in class due to
absence. All lyrics and line tapes are available on the
members area and you can use the WhatsApp group
chat to find out what you have missed out on.

12. Photos & Video Recordings

• Pictures and videos may be taken at rehearsals and
performances for use on our social media and
website for advertising and promotion.
• Photos/Videos may also be taken by members of the
public at performances.
• By signing up for the choir you agree to have your
image used in photos/videos and shared across
socials and/or the website.
• To remove your consent, please email
info@voiceworksstudio.ie before the beginning of a
term.

13. Code of Conduct

• Indie Choir is a safe space and welcoming place for
all to sing. We pride ourselves in creating a safe
singing community.

• All are welcome and we expect members to show
kindness and respect to all other members, the choir
leaders and the general public.
• Indie Choir does not accept any incidents of
‘inappropriate behaviour’ which includes but is not
limited to: bullying, harassment, homophobia,
transphobia, racism, sexism.
• Any instances of ‘inappropriate behaviour’ will be
dealt with as quickly as possible and in this way:
(i) Alert the choir leader to the incident
(ii) The choir leader will speak individually to all parties
involved and collect a statement from all parties
(iii) The choir leader will create an action based solution,
send it to all parties and all parties must agree to
follow the choir leaders solution
(iv) The choir leader will have a 1 month follow up
meeting with all parties involved
(v) If the offending party fails to agree to the solution,
their membership will be removed without a refund

14. Privacy & Data Protection

• Voiceworks Studio and your choir leader will contact
you via the email provided when booking with choir
details, performance details and with other
Voiceworks Studio and Indie Choir related news. You

can opt-out of all emails by emailing
info@voiceworksstudio.ie
• We respect your privacy and your contact
information is kept confidential. Voiceworks Studio
does not share or sell contact or personal
information with third parties or other companies.
• Indie Choir is part of Voiceworks Studio Ltd.

15. Updates to the Choir Policy, Terms And

Conditions

The Choir Policy, Terms and
Conditions are subject to change and
may be updated at any time. We will
endeavour to give advance notice of
any changes but this may not always
be possible. All queries and
